The admin desk for your volunteers and staff.
My Nine to Five puts your rota, onboarding, hours, pay and expenses in one friendly place — so you spend less time on admin and your team always knows what's happening.
- Fewer spreadsheets — everything in one place
- Less chasing — reminders and reference nudges sent for you
- Clearer records — DBS, training and hours, always up to date
No credit card. No lock-in. Your people just need a browser.
See it in action
Take a look around
Real screens from the app, not mock-ups. Pick one to see what it does and who it's for.
Your whole week, on one screen
See every shift, who's on it and which places are still empty. Gaps show up as dashed circles, so you spot them days ahead, not on the morning.
- A running total at the top: places filled and shifts that still need people
- Filter by team or role when the week gets busy
- Set up repeating shifts once, including overnight ones that finish the next day
- Open the check-in kiosk for your venue in one click
Shifts your people book themselves
No more group chats asking who can do Saturday. Your volunteers and staff see the shifts they can do, how many places are left and any notes, like lunch provided, then book in a tap.
- Only shows shifts they're cleared and trained for, with the reason for any they can't book
- Full shift? They join the waiting list and move up automatically
- Add to my calendar keeps every booking in Google, Apple or Outlook
- Email reminders before each shift, at times they can choose
Know what needs you this morning
Open the dashboard and the day sorts itself: the shifts still short of people, what's waiting for your decision and how things are going, in plain numbers.
- Headline figures: active people, places filled this week, and hours this month with what they're worth
- Expired or missing checks counted, so an out-of-date DBS is caught before the shift, not after
- One queue for applications, hours, claims, references, training and DBS checks
- A getting-started tracker for each new person
Leave, without the email chain
Everyone can see how many days they have left and book time off in seconds. Requests go straight to their manager, or whoever's covering, and the balance looks after itself.
- Allowances in days, with half days at the start or end of a booking
- Fair for part-timers, as a day of leave follows each person's working week
- Optional flexi time: extra hours worked build up and can be taken back as time off
- Your leave year starts in whichever month you choose
Expense claims in a minute, from a phone
Snap the receipt, pick a category, add the amount and send. Claims go to the right approver instead of sitting in someone's inbox, and everyone can see where theirs is up to.
- Up to five receipt photos or PDFs per claim, shrunk on the phone so they upload quickly
- Mileage at your rate, in miles or kilometres
- Optional work orders and budget codes, so finance knows where every pound belongs
- Approve, query or reject, then mark as paid, with every step logged
Screens show our sample organisations, with made-up people and figures. Yours will carry your own name, logo and wording.
Everything in one place
One desk for the whole crew
Every organisation is different, so every part of My Nine to Five can be switched on or off. What are you interested in? Tap a topic to see the parts that matter to you.
Onboarding that finishes
A checklist each new person works through: seamless reference checks (emailed straight to referees and chased for you), document signing in the app, and checks by role — DBS and required training, with expiry dates tracked.
References & DBS, handled
Reference chasing is built in — automatic nudges until the reference lands. Record DBS checks and renewal dates, mark which roles need them and at what level, and see everyone's status at a glance.
Rota & self-booking
Publish shifts people book onto themselves — or assign everyone if you prefer. Waiting lists move people up automatically, and everyone can subscribe to their shifts in Google, Apple or Outlook.
Calendar that keeps up
Every shift can land in your people's own calendars — Google, Apple or Outlook — so nobody misses a change without knowing about it.
Hour logging for everyone
Hours for salaried staff, volunteers and hourly-paid people, all in one place. Attendance from the kiosk feeds straight in, so nobody has to type what they've already done.
Approvals & payroll
Hourly-paid staff log hours, you approve the timesheet, and approved hours go on one clean list to pay. No spreadsheet gymnastics at the end of the month.
Expenses & mileage
Expense and mileage claims with receipt photos, approval and payment tracking. Claims don't get lost in inboxes, and you always know what's owed.
Documents everyone signs
Upload a new document for everyone to read and sign — each person gets an email and sees it in the app. Signing happens right there; you watch the list fill up.
Internal messaging
Built-in messaging keeps conversations with your people out of your personal inbox — one place for announcements, questions and nudges.
Reminders that turn up
Email reminders before every shift, daily gap alerts to coordinators, and a Monday-morning summary for managers. Every send is logged, including failures.
Check-in kiosk & sign-up
A tablet or phone at your venue for checking in and out — attendance feeds straight into hours and pay. There's also a public sign-up page for your website or a QR code.
Reports & records
Hours, attendance and people reports, CSV exports, and a full activity log. Fine-grained access levels mean people only see what they should.
Recruitment, built in
People apply through your public sign-up page, then flow straight into onboarding — no copy-pasting from forms into spreadsheets.
Customised to your business
Add your logo and brand colours, and use your own lexicon — what you call your people, shifts and teams. Your app looks and sounds like yours.
How it works
Set up in an afternoon, not a quarter
You get your own private app — one site for your screens, one locked-away database for your data. No server to look after. No spreadsheet to break.
Tell us about your crew
What you call your people and shifts, your teams, roles, locations and pay rates. Everything is worded your way.
Invite your people
They sign in with an emailed code or one-click link — no passwords to forget. You choose who sees what.
Run your week
Rotas fill themselves, reminders go out, onboarding finishes, pay and expenses land in one approved list.
See the whole picture
Dashboard, reports and a weekly summary. Your data stays yours, private to your organisation.

Security & your data
Your people's records, treated with care
References, DBS status, pay rates, contact details — the records you'll keep in My Nine to Five deserve proper protection. Here's exactly how that works, in plain English.
Separate, private data
Every organisation gets its own private database and file storage. Your records are never mixed with another organisation's, and all data is hosted in the UK/EU on Cloudflare's infrastructure.
Access you control
Fine-grained permissions decide who sees what. People sign in with an emailed one-time code or link — no shared passwords to leak — and connections are encrypted throughout.
Your data stays yours
Your organisation is the data controller; we act only on your instructions as your processor. Export everything yourself at any time — CSV files and full copies on request — with no lock-in.
Clear retention rules
If you ever leave, we export a full copy for you and delete your database and files within 30 days. Backups are overwritten within a further 60 days, after which recovery is impossible.
A written data processing agreement is available on request, and we'll notify you without undue delay if a breach ever affects your records. Read the full privacy notice.

Why we built this
A note from the founder
My Nine to Five exists because small organisations do some of the most important work in their communities with the least admin support.
“Time and again I've seen the same picture: one coordinator holding a charity together with a rota spreadsheet, a folder of DBS certificates, a shoebox of receipts and a memory for who's trained in what. It works — right up until that person takes a holiday. I built My Nine to Five so that the admin that keeps a small team running has a proper home: one place for your people, your week and your records, priced so even the smallest group can afford it.” — Ancor, founder of My Nine to Five (and the person who answers your emails)
We don't have customer testimonials yet — we'd rather show you the working product than invent praise. The first ten Pioneer organisations will be featured here with their story, once they've lived with the software and have something real to say about it.

Rotas & shifts
Publishing shifts, bookings, waiting lists, reminders and the check-in kiosk.
Can people book their own shifts?
Yes. Your people see the shifts they can do and book in a tap, up to 12 weeks ahead (you choose how far). If you'd rather keep control, switch self-booking off and coordinators assign everyone instead. Overlapping bookings are stopped automatically.
What happens when a shift is full?
People can join the waiting list. If someone cancels, the next person moves up automatically and gets an email to say so, so nobody has to ring round.
How do I see which shifts still need people?
The rota shows a running total, such as "19 of 29 places filled", and empty places appear as dashed circles. The dashboard lists every shift that's short, and coordinators get a daily email about gaps in the week ahead. You can also choose to email everyone eligible when a shift needs filling.
Can I set up shifts that repeat?
Yes. Set a shift up once as weekly or fortnightly and it's added to the rota 12 weeks ahead, topped up as time passes. Cancel a single date, say for a bank holiday, without touching the rest. Overnight shifts, such as 22:00 to 07:00, work properly too, with hours, reminders and calendars all allowing for the next day.
Will people get reminders?
Yes, by email. You set the default times, for example the day before at 18:00 or two hours before the start. A shift can have its own times, and each person can choose theirs or switch them off. People also get a confirmation when they book.
Can shifts go straight into people's calendars?
Yes. With Add to my calendar, each person subscribes to their shifts in Google, Apple or Outlook calendar, so changes follow them. Google refreshes subscribed calendars on its own schedule, so updates can take a few hours to appear there.
What if someone drops out at the last minute?
The waiting list moves up straight away. If there's nobody waiting, coordinators are alerted when someone cancels with less than 24 hours' notice (you choose the cut-off), so there's time to find cover.
How does the check-in kiosk work?
Put a tablet or phone at your venue and open the kiosk from the rota with a secret link or QR code. People tap their name to check in and out, and it carries on if the Wi-Fi drops. Check-in opens 15 minutes before a shift, walk-ins are only let on if they meet the role's rules, and hourly-paid staff can use a 4-digit PIN. Attendance feeds straight into hours and pay.
Can I stop people booking roles they're not ready for?
Yes. Roles can need a DBS level, training, a minimum age or a coordinator's say-so, and people are only offered the shifts they can book. If they tick "Show ones I can't book", they see the rest too, with the reason why.
Onboarding & compliance
Applications, references, DBS checks, training and safeguarding.
What about DBS checks and safeguarding?
Record DBS checks and their renewal dates, mark which roles need them and at what level, and restrict people from roles until their checks and required training are in place. The Safeguarding page lists anything missing, expiring or expired, with a button to record or update it.
What does onboarding look like for someone new?
A checklist they work through on their phone: a details form, documents to read and sign, references, DBS, training and a profile photo, plus checks you tick off yourself, such as ID seen, right to work or an induction. Steps can apply to everyone, or only to certain roles, teams or types of people. You're emailed when someone's ready, or they can be activated automatically.
How do references work?
Add up to two referees per person. Each one is emailed a short form, their answers are stored with the person's record, and they're chased automatically until they reply. You then accept or reject each reference.
Do you store DBS certificates?
No. You record the level, certificate number, dates, Update Service status and your decision, never the certificate itself. A check only counts for a role if it's at or above the level that role needs.
Can we track training and other checks, like driving licences?
Yes. Training can have an expiry, and can double as other checks, such as a driving licence or insurance. Roles can require any of them, and the dashboard counts anything expired or missing so it's dealt with before it matters.
How do people apply to join?
Through your public sign-up page, which you can link from your website, embed in it or share as a QR code. You choose which types of people can apply, it links to your privacy notice, and applications land in your approvals ready to move into onboarding. No copying from forms into spreadsheets.
Does it help with under-18s?
Yes. Roles can have a minimum age, managers are warned before clearing someone who's too young for a role, and anyone under 18 needs a parent or guardian added. Safeguarding flags anyone who slips through either check.
Our team's been with us for years. Do they have to redo onboarding?
No. Mark existing people's onboarding as complete in bulk from the People list, and only new starters go through the checklist.
Hours & pay
Logging hours, approving them and paying hourly staff correctly.
Does it handle paid staff as well as volunteers?
Yes, that mix is exactly what it's built for. Turn on pay for hours and your hourly-paid staff's approved hours go on a list to pay each month, alongside expense and mileage claims.
How do people log their hours?
Mostly, they don't have to. Attended shifts turn into hours automatically. For anything else, such as an hour of admin from home, there's one Log hours form: start and finish times with a break, or just a total.
Who approves hours, and can they be corrected?
Approvers see hours for the people they look after, can correct an entry before it's paid, then approve or reject it. Nobody approves their own. If something's approved by mistake, it can be moved back with a reason, which goes in the activity log.
How is pay worked out for hourly staff?
Each person is paid at their own rate if you've set one, otherwise their role's rate for their age, otherwise your standard rate. Pay is worked out to the exact minute, and Settings warns you about any rate below the minimum wage for its age band.
Which times are paid for a shift?
You choose: check-in to check-out within the shift's times (the default), the shift's times, check-in to check-out exactly, or to the nearest 15 minutes. Approvers can see when someone checked in early or left late.
Does it run our payroll?
No, and it doesn't try to. It gives you one clean, approved list of what to pay each person and a pay export for your payroll provider or accountant, then you mark it as paid.
Can we track volunteer hours too?
Yes. Volunteers' and salaried staff's hours are logged and approved the same way, just without an amount, so you have accurate figures for funders and annual reports.
Leave & time off
Allowances, booking leave, approvals and flexi time.
How do people book leave?
From the Leave page: pick the dates, add a half day at the start or end if needed, and send. They can see how many days they have left before they book, and the request goes straight to their manager.
Who approves leave?
Each person's manager, or whoever is covering for them while they're away. Nobody approves their own. Owners, at the very top, record their own leave straight away, which is the message you see on the Leave screen in the tour.
How are allowances worked out?
You set a standard allowance (28 days including bank holidays to start with) and can change it for anyone. A day of leave follows each person's working week, so part-timers are treated fairly, and the leave year starts in whichever month you choose.
Can people book more leave than they have left?
Only if you allow it. Switch it on and balances can go below zero, so people can borrow ahead. Switch it off and they can't book past what they have.
Do you support flexi time?
Yes, as an optional extra. Hours worked above someone's standard week build up as flexi, and they can book it back as time off, in hours. You decide whether flexi balances can go below zero.
Can managers record leave for someone else?
Yes. People with the right access can record leave on someone's behalf, adjust balances, and set allowances and working hours.
Expenses & approvals
Claims, receipts, mileage, approvals and getting people paid back.
How do people make a claim?
On their phone: pick a category, add the date, amount and what it was for, and take a photo of the receipt. Up to five photos or PDFs per claim, shrunk on the phone first so they upload quickly, even on a poor signal.
What does approving a claim look like?
Claims go to the right approver, who can approve, query or reject them. Approved claims go on a list to pay, and you mark them paid when the money's gone. The person who claimed can see where theirs is up to at every step, and nobody can approve their own.
What if a manager's away?
Approvals can go to a nominated cover while they're away, and the claim records that it was approved by cover, so your audit trail stays clear.
Can we claim mileage?
Yes. Mileage is claimed by distance at your rate, 45p a mile to start with, in miles or kilometres.
What if someone's lost the receipt?
For categories that need one, a claim can only be approved without a receipt if the approver gives a reason, and that reason stays with the claim for your records.
Can claims be coded to budgets or projects?
Yes. Set up work orders and budget codes and people pick them when they claim. You can also make a budget code required, so finance always knows where a claim belongs.
Can small claims be approved automatically?
If you want. Set a threshold and claims below it are approved automatically, once the receipt and category checks pass. Anything at or above it goes to a person.
Who can see receipts?
Only the person who claimed and your expense approvers. Receipts are stored privately with the rest of your organisation's data.
Documents, messages & reports
Policies people sign, keeping everyone informed and the figures you report on.
How do we get everyone to read and sign a policy?
Upload it (PDFs open right in the app) or add a link. Everyone who needs it gets an email and sees it in the app, signs with their typed name, and you watch the list fill up. Upload a new version and everyone's asked to sign again.
Can I message everyone at once?
Yes. Email everyone, a team or a group, and pin important notices to everyone's home page. You can send yourself a test first, and you're warned if a big send could hold up the next day's reminders.
What reports can we get?
Hours, attendance, people and expenses reports, with CSV downloads whenever you need them. Handy for trustees, funders and annual returns.
Can we see who changed what?
Yes. Every change goes in the activity log as a plain sentence, with who did it and when, including access changes, approvals and payments.
Do managers get a summary?
Yes, a weekly summary by email every Monday morning, plus a daily email to coordinators about shifts that still need people.
Setup, pricing & your data
Getting started, what it costs, and how your records are looked after.
We're volunteers, not very technical. Is it hard?
No. Everyone signs in with an emailed code or a one-click link, no passwords. Coordinators get a plain-English settings page, and we set the whole thing up with you. If you can use a web page, you can use My Nine to Five.
What if we only need some of it?
Every part, from the rota and onboarding to pay, expenses and the kiosk, can be switched on or off. Menus and permissions tidy themselves up automatically, so you never fight features you don't use.
You're new. Why should I trust you with our data?
Each organisation gets its own private database and its own app, so your data is never mixed with anyone else's. We built My Nine to Five on Cloudflare's enterprise-grade infrastructure, and you can export everything at any time. And because we're new, you get our full attention.
How much does it cost?
From £35 a month for up to 20 people, with every feature included, and charities always get 20% off. Our first ten Pioneer organisations get 3 months free. See pricing for the details.
What's the catch with the Pioneer offer?
There isn't one, but there is a trade: the 3 free months and the discount are real, and in return we ask for a short testimonial and your organisation's name on this page once you're happy. If you're not happy, you just say so and leave with your data.
Does it work on phones?
Yes. It runs in any web browser, on phones, tablets and computers, and can be added to the home screen like an app on Android and iPhone, with no app store needed. It does need an internet connection to load and save.
Can I control who sees what?
Yes. Start from ready-made access levels, such as Rota coordinator, Safeguarding lead, Expenses approver, Finance or Team leader, or make your own. Viewing and editing are kept separate, and every change to someone's access is logged.
Can it use our own words and branding?
Yes. Add your logo and colours, and call things what you call them, whether that's volunteers or crew, shifts or sessions. Tell it whether you have volunteers, staff or a mix, and it suggests the wording for you.
Can you help us move from our spreadsheets?
Yes, and there are no setup or migration fees. Send us your current spreadsheet and we'll help you bring your people, roles and shift patterns across as part of the setup we do together.
What training and support are included?
We set the whole thing up with you, walk your coordinators through it, and answer questions by email, usually within one working day. Everyday screens are designed so volunteers need no training at all.
How is our data protected, and who owns it?
You own it. Every organisation gets its own private database, hosted on Cloudflare's infrastructure, and your data is never mixed with anyone else's. Your organisation is the data controller for your volunteers' and staff records; My Nine to Five acts only on your instructions as your data processor. See our privacy notice for the details.
Can we leave?
Any time, with no lock-in and no cancellation fees. Export your data yourself whenever you like, and if you leave we'll export a full copy for you before deleting your database within 30 days.
What happens if something goes wrong?
Email support@myninetofive.co.uk and a real person, usually the founder, will get back to you, normally within one working day. If a personal data breach ever affects your records, we'll notify you without undue delay so you can meet your own reporting duties.
Can't see your question? Ask us anything. A real person replies within one working day.
